Northwood PTA Committee Chair Descriptions
All Chairmen have some basic responsibilities in addition to their particular job:
• Attend monthly PTA meetings
• Report activities to the Board and fill out activity reports when appropriate
• Attend any appropriate workshops, they are a BIG help
• Support your PTA by attending our programs
• Ask questions
• Read the Bylaws, Standing Rules, and any addition material received for your job
• Keep expenses within the PTA budget guidelines
Blood Services
Chair receives information from council on Fall and spring Blood Drives. Handles publicity and distribution of flyers. Collects donor information for Council and recruits volunteers as needed.
Book Fair
Chairperson(s) works with Executive Board & Scholastic Book Fairs to schedule book fairs for the fall and spring. Responsible for publicity, coordinating workers, event set up and break down.
Works with Treasurer to provide each days business funds.
Bylaws/Parliamentarian
Chairs Bylaws Revision Committee, which meets every three years to revise Bylaws. Bylaws are then submitted to State PTA for approval. Is also responsible for any revisions of Standing Rules.
Answers questions on parliamentary procedure.
Community Activities
Chairperson coordinates community service activities with the Salvation Army. In the past, this has included personal hygiene, food, toy & cleaning supply and paper product drives.
Handles publicity, coordinating efforts to deliver goods or have picked up, including coordinating students attending the December Toy Drive Salvation Army appreciation luncheon.
Council Delegate
Chair attends Royal Oak PTA Council meetings as a voting representative of our unit and reports back information to the monthly Northwood PTA meetings.
Cultural Arts
Is responsible for coordinating educational programs throughout the year for student assemblies, and distribution of information and schedules to teachers, within PTA budget guidelines.
Daddy Daughter Dance
Coordinate this one time event held in late winter/early spring. Organize this dance for girls and their fathers, distribution of event information, recruit volunteers as necessary, handle ticket sales, and set up and clean up of event, within the PTA budget guidelines.
Directory
Chair is responsible for collecting information needed, and compiling annual directory as soon as possible in the Fall. After publication, directory is delivered to the Membership Chairmen for distribution.
Disability Workshop
Coordinate event and recruit volunteers as necessary to hold this one-day fall 4th grade workshop. The workshop allows the 4th graders to experience what it means to have a disability by utilizing prosthetic devices and other items used for those with differences.
Donut Delight
Organize this November event for a child’s special breakfast with “dad”. Coordinate date and distribute information on the event within PTA budget guidelines.
Educator of the Year
Form committee to nominate a candidate as Northwood’s Outstanding -Educator-of-the-Year per Michigan State PTA guidelines.
Family Picnic
Coordinate, publicize and recruit volunteers for this one evening of pot luck, games and fun, typically held in June. All expenses should be kept within the PTA budget guidelines.
Fifth Grade Recognition
Coordinates “graduation” event and luncheon of fifth grade students within PTA budget guidelines.
Fundraising/Ways & Means
Coordinate fall fundraising program in addition to other fundraising programs with Executive Board approval. Is also responsible for program information, distribution of fundraising merchandise, and collections of funds.
Fun Fest
Held in coordination with Family Picnic. Plan games, buy prizes, refreshments, recruit volunteers, set up and clean up.
Grounds
Chair responsible for improving exterior grounds at school within PTA budget guidelines, recruit volunteers as necessary. Is usually helped by Scout group for service projects.
Health & Welfare
Coordinates school health and safety issues with a yearly Health Fair.
Hospitality/Social
Chair is hostess for all PTA functions as requested by the Executive Board. Refreshments may be purchased or obtained from Room Parents. Chair is also responsible for any gift purchases requested, including appreciation gifts other than teachers: Principal, Secretary, School Board, Custodians, Lunch Monitors, etc. Chair handles Kindergarten Orientation, new Family Coffees, Founder’s Day dinner, and provide back to school treat basket for teachers the week before school starts.
Ice Cream Social
Coordinate this one time event held in conjunction with Open House and Book Fair in the spring. Responsible for event information distribution, set up and clean up, and recruiting of volunteers as needed. All expenses should be kept within
the PTA budget guidelines.
Labels for Education
Chair handles Campbell Soup Label, Box Top Label, Target Card, Meijer programs to earn money for benefit of the school, coordinates publicity; collection of labels, sorting, clipping and counting, recruit volunteers as necessary, submission of labels and ordering merchandise.
Legislative
Chair receives information on legislative issues that affect education from National, State, and District courses. Is responsible for reporting pertinent legislative issues and possible courses of action to Board and General Membership as needed. Serves on Building Election Steering Committee in school election years.
Is very active in school millage elections.
Market Day
Coordinate with Market Day representative to choose sale and pick-up dates in spring for next year’s school calendar (approval by Principal required), responsible for information distribution and awareness for Market Day campaign. Recruit volunteers to help pack and distribute orders on pick-up day.
Membership
Chair is responsible for PTA membership drive. This includes developing theme for drive, publicity, forms sent home, booths at open houses, etc. Processes membership applications by sending cards to applicants, turns over receipts to treasurer, disseminates information to directory chairperson, and fills out state rosters. Rosters and dues must be remitted to State PTA by the 28th of each month. Although main work is in the Fall, follow-ups continue along with award applications through February. Chair is also responsible for distribution of Directory to members.
Mom/Son Event
Responsible for this once a year event for mothers and sons generally held in the spring. Locate facility, pass out flyers, collect money, and recruit volunteers as needed.
Muffins for Mom
Organize this May event for a child’s special breakfast with “mom”. Coordinate date and distribute information on the event within PTA budget guidelines.
Newsletter
Chair is responsible for publication of Northwood News. The number of issues should be decided by the Board – usually monthly. Chair collects articles, edits, adds artwork (layout) and delivers to OTEC for publishing. Is also responsible for delivery and distribution at school.
Picture Lady/Art Appreciation
Chair is responsible for coordinating the Picture Lady art education program. Includes recruiting volunteers, materials as necessary, attending workshops, scheduling classroom visits for volunteers and publicity for the program.
Preschool Representative
Chair should be a parent representative of the preschool program at Northwood. Reports preschool information to the Executive Board and in return, delivers pertinent information back to preschool as a liaison.
Publicity
Send out press releases to local news agencies, as needed, coordinates and updates outside marquis display as necessary.
Reflections
Coordinates PTA Reflections competition, send out initial flyers publicizing the program, recruit contest judges, and send finalists on to the State PTA.
Relay for Life
Coordinate Northwood participation in the American Cancer Society 24-hour walkathon, distribute pledge forms and information in advance of the walk, recruit volunteers as necessary, work within PTA budget guidelines.
Scholarship
Chair serves on PTA Council committee that receives and evaluates applications for PTA scholarships. Is responsible for scholarship information publicity at our school.
Spirit Sales
Responsible for selection and ordering of Northwood “spirit” merchandise within PTA budget guidelines, disseminate marketing information, selling, distribution of purchases, and recruit volunteers as necessary.
Spirit Week
Coordinate week’s events and activities or contests for fun and unity. For example: hat day, school shirt day, backwards day, funky hair day, etc. Disseminate schedules and times for events to all teachers before the week, create and distribute information on each day’s events to allow for advanced preparation on student’s part. Any expenses should be within PTA budget guidelines.
Must have pre-approval for activities from principal.
Staff Appreciation
Coordinates luncheon, fun treats and small gifts for staff during Staff Appreciation Week, usually held first week of May, within PTA budget guidelines.
Talent Show
Organize this annual one time event in May with publicity, event choices, dress rehearsal, and night of performance and recruit volunteers as necessary. Any expenses should be within budget guidelines.
Volunteer Coordinator
Chair works with school personnel (usually media clerk and reading support teacher) to coordinate educational volunteer program at school. Is responsible for recruting and scheduling volunteers, helping with information and training meetings, compiling volunteer lists for distribution to staff and PTA committee chairs, in addition to other miscellaneous duties as outlined in folder. Possibly attend monthly district meetings with other school chairmen. Chair also coordinates Room Parent program. Is responsible for recruiting volunteers and hosting information meeting in fall, explaining participation to volunteers and reporting room parent information to teachers and PTA Committee Chairs. When the Executive Board requests baked goods or other appropriate services the Chair is responsible for contacting Room Parents and coordinating the event. The same goes for special requests by the Staff.
